Recently I had the opportunity to participate in a GFI case study for the popular GFI FaxMaker software. Last Tuesday March 10th 2015, a video production company visited me in my home office to record the case study. They carried with them a ton of lighting and state of the art video gear.

For those of you unfamiliar with the term “case study” here is the best way to explain it. A case study is an examination of how a customer uses a product, and how the product benefits their business, and or improves their business processes.

Safeguarding your emails and files with GFI MailArchiver 2014

Safeguarding email is a must in today’s litigious society J003-Content-MailArchiver2014-300x300and archiving is the only way a company can do so effectively and securely. A new survey by GFI Software shows that more than half of respondents reported using their inbox as a document storage device and that external cloud-based storage alternatives are also posing a risk.

Q: What’s the big news with GFI MailArchiver 2014?

Files. File archiving to be more precise. In earlier versions we had introduced a feature whereby users could manually archive files. Our customers loved this function and the recent increase in cloud-based storage services has only highlighted the importance of file archiving within the organization. That is what we have set out to address with the latest version of GFI MailArchiver. Road warriors are constantly using and saving files wherever it is convenient for them and the company often has no clue where these files are stored. We introduced new features that eliminate the need for employees to use public cloud-based services for document storage and this is done automatically for them.

How many email messages do you send each day? How many Email-is-not-dead-298x300do you receive? Like many regular users, you probably send over 30 messages per day and receive over 100. If you are a power user, you can probably double those numbers and still come up short. With so much mail flowing through your inbox, it is far too easy to find your inbox full, to suffer from information overload, or even to get a little delete-happy and drop messages that you may need later on. Whether you are limited by the size of your mailbox, or the storage on your solid-state drive, there is a very good chance at some point you or your employees are going to find the need for an email message that was deleted.

Email Archiving Doesn’t Have to be a DIY Project

The “do it yourself” craze is big, and there’s a good email-not-DIY-300x243reason for that. You can learn a lot, save money, and ensure that things get done your way. But there’s a down side, as well. The success (or not) of DIY depends on both the nature of the project itself and on the person(s) doing it. While DIY might be a great choice for minor home improvement projects such as putting up wallpaper or laying tile, it can turn into a disaster – or even turn deadly – when amateurs decide to tackle electrical work or knock down structural walls. And painting a mural on your wall might turn out great for a do-it-yourselfer with some artistic talent, whereas it might not end up so well for someone who has never had an aptitude for art.

Is Your Email a Ticking Legal Timebomb?

A couple of months ago, I postulated here e-discovery-300x224that, far from being dead, email is alive and kicking in business organizations around the world. We talked about how to secure those messages from attackers, but that’s only part of the problem inherent in managing an email system. There’s another type of outsider to whom you might someday have to give access to all those internal communications: the legal system. Regulatory agencies can demand to audit your mail system, or courts can subpoena stored mail messages that are evidentiary in nature as part of the discovery process in the event of a lawsuit or criminal charges. That means you’d better have a good email archiving system in place. But what exactly are the characteristics of a good system?
